INFORMATION WE MAY COLLECT FROM YOU
The data that we collect and process about you may be supplied personally or we may collect this information from anyone acting on your behalf, such as parents, teachers or educational agents.
This information has normally been gathered using the following methods:
- Information that you provide by filling in our online forms. This includes information provided at the time of registering to use our site, subscribing to newsletters, requesting information or applying to study or work with us.
- Information that you provide by completing any paper application form (including medical information) when applying to study or work with us. This will include copies of written or printed documents you supply to support your application.
- Information you supply to us using email, written correspondence or verbally.
- Information supplied by a third party and relevant to you such as your educational references, exam results, sponsorship details and English test results.
- If you contact us, we may keep a record of that correspondence.
- We may also ask you to complete feedback forms that we use to evaluate our courses, although you do not have to respond to them.
IP ADDRESSES AND COOKIES
If you accept cookies on our website, the cookie will collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate data. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.
The cookie will obtain information about your general internet usage by using a cookie file stored on your computer. Cookies help us improve our site and deliver a better, more personalised service. They enable us:
- To estimate our audience size and usage pattern.
- To store information about your preferences and customise our site.
- To speed up your searches.
- To recognise you when you return to our site.

WHERE WE STORE AND USE YOUR PERSONAL DATA
The personal data that we collect from you will be primarily stored on our encrypted company computer. It may also be stored within the servers of organisations we use to deliver our services.
All these organisations have their own privacy policies.
Your data will be processed to support your education, health, travel, accommodation and welfare while studying at Language Tree.
This includes processing your application and visa, arranging studies, teaching, tests and exams, and managing payments or progress reporting.
Data may also be shared between staff as necessary and with authorities when legally required.
We take all reasonable steps to protect your data, but internet transmission cannot be guaranteed secure.
DISCLOSURE OF YOUR INFORMATION
We may disclose your personal information to third parties:
- If required by law, including UKVI, DBS or police.
- For regulatory, inspection or fraud prevention purposes.
- With educational agents where applicable.
- In medical emergencies.
- For accommodation arrangements (with consent).
- For airport transfers.
LEGAL BASES FOR PROCESSING YOUR DATA
We process data under GDPR legal bases including Consent, Contract, Legal Obligation, Vital Interests, Public Task and Legitimate Interests.
We use these depending on purpose, including bookings, marketing, employment, safeguarding, legal claims and insurance.
We do not sell your data.
We may transfer limited data outside the EU where necessary for contractual purposes, requiring partners to comply with GDPR standards.
Special Category Data/Criminal Record Data
We may process health data under Article 9(2) GDPR where necessary for safeguarding or employment assessment.
DBS checks may be carried out for safeguarding purposes.
Children under 18
We collect data for safeguarding and bookings with parental consent, including health data and media consent.
HOW DO WE PROCESS YOUR FINANCIAL DATA
When you pay for your course, you may:
- Pay in cash or cheque at the school
- Pay using iZettle or Stripe (we do not store financial details)
- Pay by bank transfer (processed directly via your bank)
What happens to my financial information?
All transactions are processed securely by third-party providers and not stored by us.
HOW LONG DO WE HOLD YOUR DATA
We retain key documentation for 15 years due to insurance requirements.
You may request access or deletion of your data at any time, subject to legal requirements.
After 15 years, all data is securely destroyed.
